The BTV puts on many events and activities throughout the school year with the help of our committee chairs. We are always open to hearing new ideas for events and activities if you're interested in chairing something new for our school! Or, take a look at what we currently offer if you're interested in being a chair (or co-chair, or a group of friends could tackle an event/activity!).

 

Event chairs can put their own special stamp on the event by making changes or additions to what's been done in the past - just keep open communication with the board to ensure everything is allowable. There will also be support and guidance from the BTV every step of the way in getting approvals as needed, facility requests, event communication, event registration, etc. and we have a Fundraiser Coordinator dedicated to working directly with all of our committee chairs!

Fun Run - September 

Need a chair! 

 

Purpose: Our biggest fundraising event! 

To Dos: Schedule a date, plan out prize incentives, create and distribute flyers explaining the fundraiser / prizes / purpose, help run the event the day of. Plan and implement the incentives following the event.

Trunk or Treat - October

Currently chaired

 

Purpose: Bring together our Beacon Tree community to show off their trunk decorating talents and distribute candy to all of our students. 

To Dos: Schedule a date, create and distribute a flyer detailing registration instructions and event guidelines, arrange purchase/discount/donation of donuts and apple cider for sale at the event, secure volunteers to assist with the event, set up parking plan for all the trunks, set up some fun games at the event, run the event the day of.

Santa Shop - December

Currently chaired 

 

Purpose: Create a magical shopping experience for our students where they can learn the benefits of the act of giving

To Dos: Schedule a week to hold the event, secure the location in the school (usually science room), create and distribute a flyer with all the shopping related details / a shopping list to fill out / payment info, coordinate with teachers to create a shopping week schedule, recruit volunteers to assist with wrapping / shopping / check in table, set up the store, run the store the week of the event, and take down the store. Also, SHOP SHOP SHOP till you drop to stock the store with any great deals you find throughout the year.

Daddy Daughter Dance - February

Currently chaired; need someone to shadow for 2026-2027 to learn the ropes! 

 

Purpose: Create a magical night for our girls and their special guys to dance the night away! 

To Dos: Select a date, secure the venue, pick a theme, create and distribute a flyer with registration details and event guidelines, secure any entertainment/desserts/decorations, recruit volunteers to assist with set up and tear down, run the event day of.

March is Reading Month - March

Currently chaired

 

Purpose: Help celebrate MRM by decorating our school to match the scenes or themes of the book selected by our media center teacher

To Dos: Assemble a team of volunteers to help decorate the school, come up with ideas for decorating that feature scenes or events from the book, decorate the designated areas of the school at the end of February so it's ready when MRM begins!

Donuts with a Grownup - April 

Currently chaired

 

Purpose: Bring together our community for students to enjoy a donut with a special person in their life!

To Dos: Schedule back-to-back mornings before school, recruit volunteers to help with set up/take down/running the event. Facilitate getting donuts, coffee, beverages to serve the morning of the event (either via purchase or donation).

Mother Son Event - April

Currently chaired 

 

Purpose: A special event for sons and their moms or another special lady in their life! 

To Dos: Book a venue, select a meal, book a Photo Booth, create raffle baskets for the attendees, create and distribute a flyer with information regarding the event and how to purchase tickets, recruit volunteers as needed.

Staff Appreciation Week - May 

Currently chaired 

 

Purpose: To celebrate our teachers and staff and show them how much they're appreciated! 

To Dos: Schedule meals and/or fun activities for each day of the week usually based around a theme, get donations from school families or local businesses, recruit volunteers as needed, put together raffle baskets and small gifts for all teachers/staff.

Family Fun Nights - Monthly

Currently chaired 

 

Purpose: Bring together our BT families to enjoy a movie, ice cream social, sporting event, parents night out, or restaurant!

To Dos: Events can be held off-site, so a chair would have to arrange dates and donation details with area business (for example, Emagine or AMC, American Gymnastics, any area ice cream places or restaurants, Jimmy Johns Field, etc!)

Sunshine Cart - Monthly

Currently chaired 

 

Purpose: Bring joy and motivation to our staff/teachers with a special surprise monthly throughout the year! 

To Dos: Plan and execute a cart delivery each month. You can select special themes, coordinate with the time of year, etc - use your imagination and creativity to bring a little sunshine to a staff member!

Bagel Days - TBD

Currently chaired 

 

Purpose: Provide a delicious bagel breakfast to our students! 

To Dos: Create a flyer to obtain orders for all the bagel days, work with a bagel company to secure flavors and pricing information and place orders as needed throughout the year, arrange to have the orders at the school and delivered on each bagel day.

Beautification - As Needed

Currently chaired 

 

Purpose:  Keep our school looking beautiful! 

To Dos: Weed the landscaping around the school and create cute decor scenes for each season in front of the main doors! Ideas include hay bales, pumpkins, mums; winter-themed greens; pretty flowers for spring. You bring the green thumb and the imagination to keep our school looking beautiful!

Carnival - TBD

Purpose: Throw an epic party for the whole school to celebrate Beacon Tree! 

To Dos: Select a date, create and distribute a flyer with registration and payment details, secure vendors (in the past there have been rides, rock walls, bounce houses, Nerf gun courses, magicians, etc), come up with games and prizes, provide a concession stand, create raffle baskets - these are ideas from past carnivals but you can use your vision and imagination to create an epic carnival experience!
